The client is a Colombian freight forwarder and third-party logistics provider on the Caribbean coast, handling ocean and air freight between Colombia, the United States and regional markets, with a customs brokerage arm and bonded warehousing near the port. Its customer base is Colombian importers and exporters alongside United States shippers moving goods into the region.
The challenge
Shipment status enquiries were consuming the operations team. Every enquiry was answered by an operations coordinator who interrupted execution work to look up a shipment across carrier portals, the client's system and email threads. Median resolution was 182 minutes, and the enquiry load was absorbing close to a third of coordinator capacity. Trade documentation was failing on first submission at a rate that created real cost. First-pass acceptance stood at 70%, meaning nearly three in ten submissions were returned for correction, each adding dwell time that converts directly into storage cost. The two problems reinforced each other. Documentation rejections generated status enquiries, which consumed coordinator time, which reduced attention available for documentation accuracy. Growth had made the situation acute. The client had won two significant United States shipper accounts and discovered its operating model did not scale, because every incremental shipment added enquiry load to a fixed coordinator pool.
Why Corpshore Colombia

The engagement

Coverage runs 06:00 to 20:00 Monday to Saturday, aligned to port and United States shipper hours. The documentation team includes staff with prior customs brokerage experience.
Approach and methodology
Separate the desk from the execution team. Status enquiries were routed to a dedicated track-and-trace desk with direct access to carrier portals and the transport management system, returning roughly a third of coordinator capacity to execution. Proactive milestone push. Rather than waiting to be asked, the desk pushes milestone updates at defined events, which removed a substantial share of enquiries entirely. Documentation pre-check. A structured pre-submission check against a codified rejection-reason taxonomy, built from the client's own rejection history, identified that four reasons accounted for most failures, all preventable at source. Carrier chase automation. Routine milestone chasing moved to a scheduled, tracked process with escalation thresholds.
